Responsibilities

PRIMARY PURPOSE OF JOB: Manage portfolio of retail accounts to individual customer requirements. Accountable to meet sales initiatives through proactive order management. Responsible for complying with customer regulations, including maintaining minimum order fill rate and on-time shipment to reduce financial exposure due to noncompliance.

MAJOR JOB RESPONSIBILITIES/ACCOUNTABILITIES

  • Understand and comply with each accounts requirements and expectations. Accountable to ensure customer satisfaction.

  • Manage customer orders. Identify discrepancies to program terms including pricing, payment terms, freight terms and product identification; resolve and document all amendments.

  • Develop and analyze order status reports by account to ensure efficient and timely order flow. Take action with other departments or external parties to resolve exceptions to full rate and on-time shipment/delivery goals.

  • Follow up to resolution with allocation, forecasting and supply planning on backorders

  • Monitor orders through distribution and traffic and act as facilitator to minimize delays.

  • Track and trace orders through contract carrier networks to ensure on-time delivery.

  • Take appropriate action with account, if necessary.

  • Through continuous improvement, take corrective action to fix inefficiencies in the order to delivery process. Participate in cross-functional teams for company wide improvements.

  • Maintain accurate databases both internally and externally on account websites.

  • Promote and retain sales through management of item substitutions, rolling product changes, product allocation and back orders.

  • Ensure data integrity of item detail (UPCs, etc.) provided to account during initial item set up and throughout any item changes.

  • Maintain strong customer relationships through proactive account management.

  • Maintains outstanding communication with other teams and areas within the Company.

  • Fosters the teamwork philosophy within the workplace.

  • Requires regular attendance to perform essential elements as contained herein between the assigned start and end times for work.

  • All other projects as assigned by management.

Qualifications

KNOWLEDGE, EXPERIENCE AND SKILL REQUIREMENTS

  • Associates or Bachelor’s level degree highly preferred

  • SAP experience preferred

  • Strong Microsoft Office skills and experience with proficiency in Word, Excel and Access

  • Must be accurate, detail oriented and have demonstrated analytical and problem solving skills

  • Excellent interpersonal skills and demonstrated experience communicating professionally and positively in a demanding environment

LEVEL II CRITERIA:

  • Minimum 3 5 years customer service experience

  • Manage orders. 50% manual entry, 50% electronic receipt

  • Handle accounts in Tier 2

  • Some outbound reporting required depending on account assignment

  • Provides some assistance to other team members

  • Proven strong team player, coachable to develop leadership skills

  • Ability to back up 10 - 30% of all other Acct Specialists’ positions

  • Travel with sales, to meet accounts or trade shows 5 10%
